Author Submission Guidelines – ASIDE Oncology

Submission Invitation

Authors are invited to submit their work to ASIDE Oncology. All submissions will be evaluated by an editor to determine if they align with the aims and scope of the journal. Submissions deemed a good fit will be sent for peer review before a final decision is made regarding acceptance or rejection.

Before submitting, authors are responsible for securing permission for all material included in their manuscript, such as images, documents, and datasets. All listed authors must consent to be identified as authors. Where relevant, research involving humans or animals must have received appropriate ethics committee approval, following the legal requirements of the study’s country.

Editors may desk-reject submissions that do not meet minimum quality standards. Please ensure your study design and research argument are well-structured and clearly articulated. The title should be concise, and the abstract must stand alone. Following these standards increases the likelihood that reviewers will agree to assess your work. When you are confident your submission meets these requirements, please follow the checklist below to prepare your manuscript.

1. REQUIRED FILES

Each submission to ASIDE Oncology must include:

  • Title Page File (Word document)

  • Main Manuscript File (blinded)

  • Tables File(s)

  • Figures (high-resolution TIFF, EPS or PNG; PowerPoint source optional)

  • Manuscript Highlights File

  • ICMJE Disclosure of Interest form — one completed PDF per author

  • Required Documentation (depending on study type)

2. TITLE PAGE FILE SPECIFICATIONS

  1. Manuscript Title

    • Clear, concise, and reflective of oncology content

    • Avoid abbreviations unless standard in oncology

  2. Author Information

    • Full names with academic degrees

    • Institutional affiliations and full addresses

    • Email addresses for all authors

    • ORCID identifier (mandatory for corresponding author, optional for others)

  3. Corresponding Author Details

    • Complete contact information, including institutional address, telephone, email, and ORCID ID (mandatory)

3. MANUSCRIPT TEMPLATES

Please prepare your submission using the ASIDE templates: HERE

MAIN MANUSCRIPT STRUCTURE

  1. Blinding Requirements

    • Remove all author identifiers

    • Eliminate self-referential statements

  2. Required Sections

    • Abstract (max 300 words): Structured (Background, Methods, Results, Conclusions). No undefined abbreviations or citations.

    • Keywords: 3-6 keywords

    • Main Text: Introduction, Methods, Results, Discussion, Conclusions

    • Declarations panel on the submission form (required). When you submit, you will see a Declarations step at For the Editors. It offers standard wording for each statement below that you can select and then edit. The following statements are required and the form will not let you submit until each is answered: Conflicts of Interest, Funding Sources, Ethics Approval/IRB Statement, Informed Consent Statement, Data Availability Statement, Use of Generative AI, and Authors Contribution Statement. Original Articles also require a Clinical Trial Registration statement (choose "Not a clinical trial" if it does not apply). Acknowledgements are optional. Nothing is pre-filled: every statement is your own declaration. Where a standard wording contains a slot in square brackets, such as [FULL NAME OF COMMITTEE], please fill it in; an unfilled slot publishes exactly as written. Please also keep the Declarations section in your manuscript as described here.

ICMJE Disclosure of Interest forms (required). Every listed author must personally complete the official ICMJE Disclosure of Interest form. The corresponding author uploads one completed form per author at submission, using the file component Disclosure of Interest (ICMJE form), named ICMJE - Surname Initials.pdf. A submission with a missing form for any author will be returned. We also encourage every author to connect an ORCID iD; the journal will email each author an ORCID verification request on acceptance.

      Declarations:

      • Conflicts of Interest — if there are none, write: “The authors declare that they have no competing interests.”

      • Ethics Approval/IRB Statement — give the full name of the approving committee and the approval number. If approval was waived or not required, say who determined that and why.

      • Informed Consent Statement — if no identifiable individual patient data are reported, write: “Not applicable. No identifiable individual patient data are reported.”

      • Funding Sources — name each funder and grant number. If there was no funding, write: “The authors received no specific funding for this work.”

      • Acknowledgements — optional. Omit this heading entirely if there is nothing to acknowledge.

      • Data Availability Statement (explain if not applicable)

      • Large-Language Model (LLM) – Generative AI Use Statement — if no AI tools were used, write: “The authors declare that no generative artificial intelligence tools were used in the preparation of this manuscript.”
Example: “We have employed an advanced Large Language Model (LLM) to enhance and refine the English-language writing. This process focused solely on improving the text’s clarity and style, without generating or adding any new information to the content.”

      • Authors’ Contribution Statement (mandatory, using CRediT taxonomy; e.g., Conceptualization, Methodology, Software, etc.)

    • References: Vancouver style, all references must include DOI and PMCID/PMID if available, or URL if not. List references in the order they appear in the text.

  1. Figures

    • Format: high-resolution TIFF or EPS (preferred), or high-resolution PNG; a PowerPoint source file is optional. Do not convert a low-resolution image into TIFF

    • Dimensions: 1200x1200 pixels minimum, 3000x3000 pixels maximum

    • Resolution: Minimum 300 dpi at the final printed size (single column about 1000 px wide; full page width about 2100 px)

Author Charges Policy

  • No Charges: ASIDE Oncology does not impose any fees at any stage of the manuscript process, including:

    • Submission fees

    • Editorial processing charges

    • Article processing charges (APCs)

    • Page or color charges

  • Fee Waivers: Not applicable, as there are no charges.

  • Withdrawal Charges: No withdrawal fees. Authors are encouraged to submit only when ready for review to avoid unnecessary processing.

Plagiarism Policy

  • Commitment to Originality: All submissions are screened for plagiarism to uphold the highest standards of publication ethics and integrity.

  • Similarity Screening: All submissions undergo similarity screening before peer review. Authors are encouraged to check their work for originality before submission. Screening output is interpreted by the editorial team alongside the manuscript itself; no single numerical score determines the outcome.

  • Where screening identifies overlapping text, the editorial team assesses its extent, location and significance. Manuscripts may be returned to the authors for revision, or rejected, where the overlap represents unattributed reuse of another work.

ASIDE Crossmark Policy

  • Permanency of Content: All ASIDE Oncology articles receive a DOI and are permanently published, regardless of peer review outcome.

  • Archiving: All content is permanently archived, including articles not yet peer-reviewed. Peer-reviewed articles are archived in databases.

  • Content Updates: The Crossmark logo on each article links to its current status and the latest version, providing additional information as needed.

Correction to an Article

  • Corrections (Errata) are published to alert readers to post-publication errors.

Retraction

  • Articles may be retracted for reasons including honest error, research misconduct, duplicate publication, fraudulent data, plagiarism, or unethical research.

  • Retraction notices will clearly state the reason, who initiated the retraction, and will be linked to the original article (which will be marked as retracted).

  • Articles are retracted only at the author’s request or by the publisher following investigation.

  • Content may be removed only for legal reasons (e.g., defamatory or court-ordered removal), with bibliographic details and explanation retained.

Editorial Note

  • If there is an unresolved issue or ongoing investigation, an Editorial Note may be posted to alert readers.

For more details, please contact the editorial office at contact@ASIDEjournals.com.

Confidentiality: reviewers and editors

Reviewers and editors must not upload submitted manuscripts, figures, supplementary files, unpublished data, reviewer reports or editorial correspondence to any external generative-AI tool or service. This protects the confidentiality of the authors' unpublished work and follows ICMJE recommendations. Reviewers remain personally responsible for the content of their reports.

We do not charge fees and do not collect payment card or bank details. We do not ask for sensitive information such as health, ethnicity or religion about you. If a manuscript contains patient information, authors must de-identify it and hold consent as set out in the author guidelines.

3. Information we obtain from public sources

To find peer reviewers and editorial board members, and to invite authors of relevant preprints to submit, we use publicly available professional information: names, affiliations, published email addresses and publication records from sources such as ORCID, Crossref, OpenAlex, PubMed and preprint servers. We use it only to send a professional invitation. You can ask us at any time to stop contacting you and we will record that request.

4. Who we share information with

  • Readers and indexing services. Published articles and their metadata are public. Metadata is sent to Crossref (DOI registration) and made available to services such as DOAJ, Google Scholar, OpenAlex and the Internet Archive, and through our open OAI-PMH interface.
  • Editors and reviewers see what they need for their role. Under double-anonymous review, authors and reviewers do not see each other's identities.
  • Service providers who run parts of the site for us under contract: website hosting (Amazon Web Services, USA); content delivery and security (Cloudflare); email (Google Workspace); site analytics (Google Analytics, Microsoft Clarity; section 5); article metrics (PlumX Metrics by Elsevier, whose widget loads on article pages and receives your IP address and browser details); our support desk (hosted on our own server).
  • Legal reasons. Where required by law, or to protect the integrity of the scholarly record (for example a publication-ethics investigation under COPE guidance).

We do not sell personal information, and we do not use your personal information to build advertising profiles.

5. Cookies and analytics

A cookie banner lets you accept or refuse non-essential cookies, and you can change your choice at any time from the "Cookie settings" link in the footer. 6. How long we keep information

  • Published articles and their metadata: permanently, as part of the scholarly record.
  • Submissions and peer review records: for as long as the journal exists, including for manuscripts that are declined, so we can deal with integrity questions.
  • Accounts: until you ask us to close yours. Your name remains on work you have published or reviewed.
  • Support messages: attachments 90 days after upload; conversations 180 days after they are resolved.
  • Analytics data: under each provider's retention settings; Clarity recordings are kept 30 days.

7. Your rights

Depending on where you live, you can ask to access, correct, delete, restrict or move your personal information, object to our use of it, or withdraw consent. You can update most account details yourself after logging in. For anything else, email contact@asidejournals.com. We reply within 30 days.

We cannot delete published articles or remove authors from them, because the scholarly record must stay complete; corrections follow our corrections and retractions policy. If you are in the EU or UK and are unhappy with our reply, you may complain to your local data protection authority. US residents can use the rights their state law gives them in the same way; we do not sell or "share" personal information for targeted advertising.

8. International transfers

Our servers are in the United States. If you use the site from elsewhere, your information is transferred to the United States. Where the law requires it, we rely on standard contractual clauses or the providers' certified transfer frameworks.

9. Security

We use encrypted connections, access controls and regular backups. No system is perfectly secure; if a breach affects you, we will tell you as the law requires.

10. Children

This site is for researchers and health professionals and is not directed at children under 16. We do not knowingly collect their information.

11. Changes

We will post any change on this page and update the date at the top. Significant changes will also be announced on the site.
